Parish Administrator

Job description:

The role involves managing the administration of the parish and the management of both parish halls on behalf of the Vicar and Parochial Church Council [PCC] of the parish of Portslade & Mile Oak.  You will report directly to the Vicar/Minister in Charge.

The Role is expected to take about 40 hours a month on average (although extra hours may be needed on occasion) and remuneration will be at £340 per month.  The Administrator will be expected to be flexible in terms of when and how hours are worked, however, The Administrator will need to be in the Parish Office each week at a regular time which will be agreed on taking up the post for 6 hours per week. 

Overtime incurred will be paid at the rate of £8.50 p/h (£12 p/h on Bank Holidays authorised by the Vicar, or in emergencies).  We are required to arrange PAYE with HMRC. 

The post holder is supported by the Vicar, Church Wardens and the Treasurer, and by the PCC.  We employ a part-time cleaner at St Nicolas Centre - the Parish Administrator will supervise the Cleaner and Cleaning of St Nicolas Centre and the volunteer cleaning team at The Good Shepherd Hall.

A mobile phone will be supplied for contacting the Administrator and through which bookings for the halls etc will be made.

The main functions are:

• to deal with the production of weekly news sheets and readings sheets.  • produce Orders of Service as and when required • deal with enquiries in person and/or via telephone • be responsible for collecting fees and/or takings and banking thereof • maintaining the parish website • to deal with enquiries for use of the halls and process them, avoiding conflict and ensuring clarity around what is provided and the obligations of hirers/users. • issuing monthly invoices and collecting payment for ad-hoc bookings. • arranging access for hirers; issuing keys and ensuring their return. • maintaining an up-to-date list of key holders (a copy of the list needs to be with the Church Wardens) • facilitating hall viewings for new, potential users. • monitoring equipment and facilities, arranging repair/ replacement as necessary and as funds allow. • maintain a ‘works schedule’, shared with the Parish Centre Committee (via the Vicar), and negotiate for funding for larger refurbishment/facilities replacement. • availability for emergency call out by hirers • to be available for meter readers, serving contracts etc • keep stock check on the consumables for the parish and to re-order when required • other duties as agreed with post-holder and Vicar.


The holder of this office will need practical skills and be prepared to undertake small repair/maintenance jobs (such as changing light bulbs, setting heating timers etc).  They will need to be familiar with Microsoft Office’s Word and Excel or equivalent.  They will need access to a vehicle and
